Integrations: Run Full Sync

Introduction

Purpose

This document provides step-by-step instructions for running a "Full Sync" on your GroupTrack CRM integrations. Running a full sync ensures that all contacts are accurately synced with your third-party system, especially if contacts are missing or if you are adding an integration to a pipeline with existing contacts.

Scope

This guide is intended for GroupTrack CRM users who need to synchronize contact data with an integrated third-party system.


When to Use a Full Sync

A full sync is necessary in two main scenarios:

  1. Missing Contacts: If contacts are not appearing in your third-party system as expected.
  2. New Integration: If you are adding an integration to a pipeline that already has existing contacts.

Running a full sync helps ensure that all contact data is reset and up to date in your connected systems.


** For integrations that were migrated from GroupTrack 1.0, please follow these steps before running a full sync on your integration:


  1. Update Tag Category Integrations:
    1. Go to Settings -> Tags
    2. For each integrated Tag Category, click the 3-dot menu and choose "Edit Integration"
    3. Step through the sidebar options to get everything updated
    4. There is not currently a "Run Full Sync" for Tags, but synced Tags will be included when you run a Full Sync for a Pipeline that shares the same Connection as any Tag Categories.
  2. Update Pipeline Integrations:
    1. Go to Settings -> Pipelines
    2. Go to the "Integrations" tab
    3. For each existing integration, click the 3-dot menu and go to "Edit"
    4. Step through the wizard to verify the setup, copy/paste your integration settings (API key, verification, etc.) into each field
    5. Click Update
    6. After verifying the integrations, you can run a Full Sync by clicking the 3-dot menu and choosing "Run Full Sync"

Steps to Run a Full Sync

  1. Navigate to Pipelines Setup:
    • Go to Setup and select Pipelines.

      Select the Pipeline:

    • Choose the pipeline you want to work with from the list.

      Open the Integrations Tab:

    • Click on the Integrations tab along the top of the pipeline setup page.

      Access the Sync Menu:

    • Locate the system you want to sync, and click the three-dot menu next to it.

    • Run Full Sync:
    • Select "Run Full Sync" from the menu.

    • Confirm Sync:
    • Confirm to begin the full sync process.

Running a full sync ensures that all contacts in your GroupTrack CRM pipeline are accurately reflected in your connected third-party system. This process helps maintain consistency and reliability across systems, allowing you to manage leads effectively without missing data.
