What Are Group Rules?

Group rules are predefined actions that are triggered when specific conditions are met in your Facebook group. By setting up these rules, you can automate tasks like categorizing leads with tags, sending personalized messages, or assigning leads to team members. This reduces manual effort and ensures smoother group management and lead nurturing.


What You Can Do with Group Rules

Group rules in GroupTrack allow you to perform the following key actions:

Auto-Tag New Members

Automatically categorize new group members based on their responses or group activity. This helps you segment your audience for more personalized follow-ups.

Send Welcome DMs

Make a strong first impression by automatically sending personalized direct messages (DMs) to new group members. This warm introduction can set the stage for building a relationship and nurturing the lead.

Assign Leads to Team Members

For larger teams, automatically assign new leads to specific team members. This ensures that each lead gets personalized attention from the right team member, which can help scale your lead management process efficiently.

Create Task Automations

Automatically set follow-up tasks when new members join. This ensures no lead falls through the cracks by reminding you or your team to follow up, check in, or take other important actions.


How to Create Group Rules

Follow these steps to set up group rules in GroupTrack CRM for efficient lead management:

Group Rules are applied to all incoming Facebook group members that are approved into your Facebook group using GroupTrack CRM. You can choose if you want the following to apply:

  • Keyword: apply rules if a specific keyword is found based on how new group members answer your membership questions when they join your group
  • Always Apply this Rule: apply rules for everyone that comes into your group regardless of whether or not they answer your membership questions
  • Apply if No Keywords Match: apply rules if you approve someone into your group and neither of the above options qualify


Set Up Auto-Tags for Group Members

  1. Go to the Pipeline settings on the tab " " and select "Group Entry Automations."
  2. Click the option to Apply if Keyword is found
  3. In Facebook, go to your group and click on Membership Questions from the admin menu
  4. Copy the first answer choice to your first membership question and paste that into the field for your keyword
  5. Choose what pipeline to add new contacts to as well as what stage in that pipeline to place them in
  6. Click on "Tag" to configure tagging options based on member responses or activities.
  7. If you want to send an Automated Welcome DM, you can select the message template that you want to use (this is on the Pro plan only)
  8. Set a task to follow up with your new contacts

  9. Assign Leads to Team Members, Set the Status Label, and Add a Note

  10. Click "Save" to finalize your group entry automation.
